    • Amended AGM information
      • Kia ora koutou Capital swimmers and families, On 27 July the Capital Swimming Club gave notice of its 2020 Annual General Meeting to be held on Sunday 30 August at The Hub, commencing at 2pm. The notice was incorrect. We called for nominations for two board vacancies that are up for election at this year’s AGM, however the Club is looking for four board members. Two board members resigned earlier this year, and were not replaced, and under the Capital Swimming Club Constitution, the two longest serving elected board members also have to retire at each AGM. This means the club is looking to elect four board members at this years AGM. As mentioned in our email on 27 July, nominations must be presented to the Club in writing at least 28 days before the AGM (by Sunday 2 August). Nominations can also be made from the floor at the AGM if insufficient nominations are received by 2 August. If there are insufficient nominations to fill the minimum number of board seats as specified under the Capital Swimming Club’s Constitution at the AGM, the AGM will have to be adjourned. Under the Capital Swimming Club Rules, Rules, the Board has to have at least five members to meet as a board; in addition, at least four elected members of the Board must be parents /caregivers of swimmers, or swimmers over the age of 18 in order for the Board to meet. The Board currently has three such members, including the two longest serving members standing down at the AGM. Those who are interested in standing for election to the board as a board member must be members of Capital and only members can nominate and second candidates. The board nomination form is here.Election form New non-swimmers wanting to sign up as an ordinary member of Capital Swim Club need to complete a Capital membership form and send to Sharon Pippos at accounts@capitalswim.co.nz. If you have already completed a form in previous years, there is no need to resend a membership form. The membership fee associated with non-swimmers of $25 will be issued to our current database as well as to newcomers who send through a Capital Membership Form. Payment of your fee must be received by the Club no later than Friday, 28 August, 2020 if you wish to have your vote count at this year’s AGM. Alternatively, if you are a current non-swimmer member and no longer wish to continue with membership with the Capital Swim Club, please let Sharon know so she may resign you from the Club. Ngā mihi nui Joe O’Callaghan, Capital Swim Club Administrator

    • Notice of AGM, 30th August 2020
      • Kia ora koutou, Another year has gone by and it is time for the 2020 Annual General Meeting (AGM) for Capital Swim Club. The AGM will be held on August 30 at 2pm at The Hub and the notice of AGM is here. An agenda and all AGM documents will be sent to members 14 days prior to the AGM. We are calling for nominations for board members. We have two board vacancies that are up for election at this year’s AGM. Those who are interested in standing for election to the board as a board member must be members of Capital and only members can nominate and second candidates. The board nomination form is here. Nominations must be presented to the Board in writing at least 28 days before the AGM (by 2 August). Nominations can also be made from the floor at the AGM if needed. To vote on matters the Board raise as part of the Club’s AGM, a member must be an Ordinary Member or Life Member as defined by the Club’s Rules. Thank you to Sharon Pippos for collating the membership types for members. Ordinary Member – the type of membership offered to both swimmers and non-swimmers (eg. parents/caregivers, past swimmers). A completed Capital Swim Club Membership Form along with payment of the current annual Capital Membership Fee of $120 (swimmers) or $25 (non-swimmers) is needed to gain this form of membership. Only Ordinary Members aged 18 years or older are entitled to vote at General Meetings. Non-swimmer membership is optional. Membership Fee invoices for swimmers were issued to families on the 1st of July, 2020 for payment. Non-swimmers wanting to sign up to become an Ordinary Member are required to send their completed Capital Membership Form so they can be added to our Membership database before issuing to them their Membership Fee invoice for payment. The form should have the Ordinary Non Swimming Voting Member box checked, with other necessary details completed and returned to Sharon Pippos at accounts@capitalswim.co.nz. Life Member – these members are entitled to vote at General Meetings and they have no annual Capital Membership Fee to pay. Recommended by the Board, voted and approved by a 75% majority at a General Meeting. As ever, if you have any questions or concerns please do not hesitate to contact me on chair@capitalswim.co.nz. I looked forward to seeing you at the AGM at the end of August. Ngā mihi nui Matt Titcombe, Chairperson, on behalf of Capital Swim Club Board Notice of AGM Election form

    • 2020 CPT Medley Meet Results + Age Group Winners and Wrap Up
      • Please find attached the unofficial results and age group winners (top 5) from Saturday’s CPT Meet and the Flyer for the next Tier 1 Meet. Congratulations to the swimmers who competed on Saturday. It was fantastic to see such a large number of competitors (just shy of 300) at a Club level Tier 2 Meet. Thank you to Coach Andre Kudaba, Coach Brandon Mutch and Coach Ben Stirling and the list of parent volunteers who all gave their time to make this Meet a success. A special word of thanks to Julie Kuggeleijn for her willingness to step into the bull-pen with me on Saturday and marshal. She lost her voice, but never a swimmer and she did a fantastic job as a trainee, so I hope she’ll consider doing the role again as the racing calendar picks up momentum. Thanks also to our raffle sellers. It isn’t a role many are willing to step up to do but Jacqui Day Ellis and Nicki Nicol, what an awesome effort you ladies gave. While we only ended up doing 1 raffle of $50, these ladies collected $200 more for the Club to put towards their upcoming Meet expenses. In wrapping up the Meet, please read through the below and advise if you have any queries. Age Group Winners (refer to Top 5 Placings attachment) Prizes were awarded to those who placed in the top 3 in all age groups being scored, male and female. A list of those yet to collect their prizes from Capital are as follows: Lucy Evans (3rd, 11-12 Women) Ella Drummond (2nd, 13-14 Women) Sam Kilduff (1st, 13-14 Men) Estee Jacobs (2nd equal, 15-16 Women) Cooper Gouge (1st, 15-16 Men) Their prizes can be picked up over the week at training. With Jessica Johnstone (1st, 10U Women), Anthony Li (2nd equal, 10U Men), Lucy Price (1st, 11-12 Women), Tayla Miles (3rd ,13-14 Women) and Alex Esposito (2nd equal, 15-16 Men) who collected their prizes on the night, congratulations to these swimmers for your Saturday CPT Medley Meet results. Refunds Will be paid tonight to your nominated bank account if you have a swimmer that scratched due to illness or injury or unavailability to attend the Meet (this notice must have been received prior to the release of the initial psych sheet). Please confirm with me your preferred bank account number for the refund to be paid into. Helping at Meets A reminder to everyone that one of the conditions of your swimmer’s Capital Swim Club Membership is your agreement to assist at Meets. Helpers do NOT have to be Mum or Dad. It can be anyone linked to your swimmer who is aged 16O. While I appreciate families telling me they are busy or they have other things planned on the day they’ve enrolled their swimmer to compete, this seems to be happening all too often. Please remember the responsibility of finding a helper to support your swimmer lies with you and not the Club if you choose to register your swimmer to compete. For succession planning it is important we have more than a handful of parents I can call upon to help in any role if it is requested of our Club. Families with experienced competitive swimmers, please look at stepping up and training into more official roles leaving the easier roles like timekeeping, door entry, etc. for newcomers to assist with. This allocation of tasks will be the way helpers will be assigned moving forward especially if a Meet is open to swimmers of all ages and levels. Only if the Club’s workload can be shared, will our families not need to work every Meet their swimmer enrols into but this needs every family from Dolphins through to Senior Squad registering to be ready to deliver help otherwise the workload continues to fall on the kindness of the same families. So onto the next Meet: Reminder: Tier 1 Meet registrations close this Sunday at 23:59 A reminder to SNZ Competitive Swimmers, 12O entries close on Sunday for the next Tier 1 Meet. This Meet will be held at the Coastlands Aquatic Centre and I am now looking for IOTs and timekeepers to come forward to offer their help if their swimmer plan on attending. To IOT trainees, this Meet has been offered as an opportunity to train or possibly be examined so please let me know of your availability as well (please copy Barbara Ryan at barbararyanfamily@gmail.com if you wish to make yourself available for this Meet). To qualified IOTs, please let me know your availability even if it is a no.

    • July Newsletter
      • Kia ora koutou, Friday marked the first swimming meet post-covid lockdown with the College Sport Wellington meet at Huia Pool for college students. A fun, return to racing for many Capital swimmers. Next weekend – July 4 – will see Wellington Regional Aquatic Centre full of swimmers of all ages in the annual Swimming Wellington relay meet. These are exciting milestones for swimming in the region. Another month has passed since the last update. Below are matters the Board would like to share with members. Club Strategy You will recall in our newsletter last month (May 31) we talked about how the Board were focusing on a strategy for the club to become financially sustainable (read this as meaning a club that can stand one it’s own two feet – reducing the dependency on grants plus able to build up modest reserves), at the same time doing all we can to provide services/programmes for our wider community. Whilst we can not share a lot of detail at this point in time, what we can let you know is that we have begun consultations with the coaches on such a strategy, and as the plans evolve we will share the detail with all members. Club Fees The start of the new season is literally a few days away (July 1). We are not proposing any changes in the Membership Fees for the coming season, keeping them at $120 per member and capped at $360 per family, where they have three or more swimmers. With regards to squad fees, there may be changes to squad fees as a result of the new strategy for the club and the specific programmes we deliver as part of that strategy. As that piece of work is still being worked on we do not have any details to share at this point in time. However we can say that we are obsessed with making the sport as affordable as possible, and that all fees charged reflect the value our programs offer our members – this focus will be reflected in any future changes to squad fees. Training Timetable The timetable that squads are currently operating under will remain in place for the foreseeable future (here is the timetable and rationale for each training group effective Monday 29 June). Notwithstanding that there is work underway with regards to club strategy, which may have an impact on the programmes we offer at some point in the future, there are no plans at this stage to change from the current timetable. Update from Gary Hollywood, Head Coach Thank you for your patience during and immediately post Covid-19, whilst we worked through pool planning with Wellington City Council. The recent switch back to Freyberg, for all Senior Swimmers, was in response to discussions with WCC regards and available lane space at WRAC. Once again thank you and apologies to anyone who was inconvenienced at this time. Key points from the handout are: The human body is built to respond to different types of training stimulus differently at different ages. These ages can basically be broken down by what the 14&U body responds to / needs as opposed to what the 15&O body responds to / needs. The human brain develops with age. Broadly speaking with this in mind in a sporting context 14&U’s are compatible and 15&O’s are compatible. Any questions about the timetable please direct them to headcoach@capitalswim.co.nz The Hub The Board have evaluated Capital’s membership with The Hub. Based on annual use and membership costs of the facility the decision was made to resign as a member of The Hub. We will continue to use the venue for Club functions as the the venue and proximity to Wellington Regional Aquatic Centre is excellent. Board departures After three years of serving on the Capital Swim Club Board Dave Clareburt has resigned from the Board. Dave brought a sense of passion, drive and expertise with him as a serving Board member and we wish him and his family all the very best. Many thanks to Lynda Hart who has also recently resigned from the Board. Her enthusiasm and efficiency will be missed. An AGM date will be coming your way soon. Please consider getting involved with Capital, there are many roles available from Board member, poolside ambassadors, Club administrator, uniform coordinator, fundraising. • Covid-19
      • Kia ora koutou, As you know, in response to the Government’s announcements, the Wellington City Council have closed all swimming facilities until further notice. These are unprecedented times for our Club and families. Myself and the Board’s thoughts are with you all during this tough time, including our Olympic athletes. The Capital Board and Coaches are working through a coordinated process to send you regular updates on topics of interest. We will continue to follow the advice from the Ministry of Health as we have a duty of care to responsibly ensure the safety and well-being of our Members and Coaches. Squad Fees As the Club is no longer able to provide Squad Training sessions, squad fee invoices for all Capital Swim Club families have been suspended from 1 April, 2020. We will advise you as soon as practicable when are are looking to re-activate your squad fee invoice due to training re-commencing. Families who have made payments or are wanting to make payments that apply to training from April 1, 2020 onwards are asked to contact the Club’s Accounts person, Sharon Pippos at accounts@capitalswim.co.nz. These payments will need to be refunded or transferred to the Club as a gratefully accepted donation during this period of suspension. Coaches Our Coaching team is working through a coordinated process to inform your swimmers what they can do over this forced break, including how they can be ‘virtually’ connected with your swimmer(s). Board We will continue working on the operation of our Club and strategic direction during this time and update you on any progress. One final word from me to your swimmers. To break the monotony of this serious event we’d love to hear or see any pictures that they might like to share publicly, of how they are keeping fit throughout this week – it could be innovative, serious or fun pics.  Either way, please send this information to Joe O’Callaghan on manager@capitalswim.co.nz. If you have any questions or concerns please do not hesitate to contact me on chair@capitalswim.co.nz. Keep safe everyone. Ngā mihi, Matt Titcombe, Chairperson, Capital Swim Club

    • National, Secondary Schools Events Update
      • On behalf of the Board of Capital Swim Club, our Coaches and myself as this Club’s Race Secretary I share SNZ disappointment in having to advise you that many of the upcoming National, Secondary School events have been cancelled or postponed as a result of the Coronavirus-19. It is as SNZ have said in today’s communication, we are in unprecedented times requiring unprecedented decisions. The health, safety and wellbeing our swimming community must come first Aon NZ Open Championships: The Aon NZ Open Championships will be postponed until early June (likely 2nd-6th). The running of this event will depend on Government advice at the time with a final go/no-go decision being made on Monday 11 May. If the Championships are further postponed or cancelled, we will run an Olympic trial event for long-list athletes only starting on Tuesday 2nd June. In order for any ‘new’ Olympic trial event to go ahead (outside of our original Aon NZ Open Championships) we will need to wait for FINA Approval which we have sought and expect a positive response within 24 hours. Note: The Fina Swimming Technical Officials School to be held in Auckland prior to the Aon NZ Open Championships has also been cancelled. Additional Olympic Time-trial Event: Given the postponement of the Aon NZ Open Championships that were also a FINA approved Olympic qualification event, we will hold an additional Olympic qualification time-trial for long-list athletes in Auckland at the National Aquatic Centre commencing on Tuesday 31 March again subject to FINA approval which we have already sought and expect a positive response within the next 24 hours. Our President David Gerrard is currently on the FINA Covid-19 taskforce so is at the coalface in terms of FINA’s decision making around changes to Olympic qualification events and is updating us as information is coming to hand. Long-list athletes will be permitted to swim at both trial events (Additional Olympic Time-trial Event + the Aon NZ Open Champions) effectively providing long-list athletes with an additional Olympic qualification opportunity. The current Swimming NZ Olympic Nomination Criteria will be amended accordingly. All long-list athletes will be contacted within the next 24 hours to discuss the above and confirm details. This additional Olympic time-trial will only incorporate those events being qualified for and no spectators will be permitted at this event. Aon NZ National Age Group Championships (NAGs): This event has been cancelled. We discussed at length about other options for running this event including significantly reducing the number of athletes, coaches, managers, technical officials and spectators (approximately 1,300 in 2019) to get it under the 500 mark and moving to another date in 2020 but have decided that at this time, the best decision was to cancel the event. Division II Championships (Div II): This event has been cancelled for the same reasons given for NAGs above. Note: The Fina Swimming Technical Officials Clinic to be held in Dunedin prior to Div IIs has also been cancelled. NZ Secondary School Open Water Championships: This event has been cancelled following a statement by the NZ Secondary Schools Council last night that all events on the NZ Secondary Schools Council calendar be suspended indefinitely. Oceania Championships, LA Invitational and Junior Pan Pacs: Information relating to qualification for these events, assuming they go ahead, will be circulated shortly. For those who have paid entry fees or spectator fees to DIV II, NZO or NAGs, SNZ will most likely see to refunding your fees directly to you, so please be patient and keep an eye out for their communication about your refund which will shortly follow. For any other deposits or payments you may have made to attend these events (eg. flights), please contact your choice of supplier directly and enquire into the possibility of receiving a full refund or credit to use a future time at your discretion. If I can provide any further support to your family with today’s decision, please don’t hesitate to email me at your convenience. Kind Regards, Sharon Pippos Capital Swim Club Race Secretary

    • COVID-19 Update
      • On behalf of the Capital Swim Club we would like to assure you we are closely monitoring the COVID-19 pandemic & operating in line with the New Zealand Government’s Ministry of Health plan. We will continue to provide timely updates as new information becomes available. Here is some advice from Swimming New Zealand & the Swimming Teachers and Coaches NZ Incorporated (NSCTA) : As of 18th March 2020 there is no current advice that says people should avoid small gatherings, going to school, childcare or indeed swim training. We simply need to be sensible with pool users’ interaction like we would in any other social environment currently. So, we would like to reassure parents / guardians & carers, that: Swim training sessions are currently continuing on as normal. Please ensure you familiarise yourselves with the Government’s advice regarding hygiene, recognising COVID-19 symptoms and self-isolation for those at risk. There is no evidence to show COVID-19 can be spread to humans through the use of pools & hot tubs. Proper operation, maintenance & disinfection (eg with chlorine & bromine) of pools should remove/ inactivate the virus that causes COVID-19. For athletes who are feeling unwell – please let your coaches know & do not attend swim training. We are also continuing on with contingency planning should direction from the Government & the Ministry of Health change. Please note Friday night’s Meet the coaches evening has been postponed. The Capital coaches and board are working through ways to optimise training squad structures to better suit needs of current members as well as offer training options for prospective members to grow Capital’s membership. This review is close to completion and we look forward to sharing this with members soon. If an in-person hui is not possible over the coming weeks we will look to alternative ways of sharing this with Club members. These are worrying times, but together with calm & sensible responses & accepting sound advice from official government authorities, we will all get through POSTER_COVID_19 infosheet_how_to_protect_yourself_and_others_english_9032020_0 …He waka eke noa … On behalf of the Capital Swim Board Nāku noa, na Catherine Millar

    • Health and Safety
      • In response to recent queries regarding sickness at swim training :- The Board is in the process of reviewing & updating our Health & Safety Policy which includes the procedures when a swimmer is unwell. First & foremost swimmers & their parents &/or guardians have a responsibility to make sure they don’t attend training when they are sick. We will remind the coaches that upon identifying a swimmer is ailing they should not be at training or in a position where they can infect others. For information on any medical/health related queries you can access Healthline or the Ministry of Health &/or check in with your own GP. Please contact catherinegmillar@gmail.com if you have health & safety queries regarding Capital Swim Club. Covid-19 – Please keep yourself informed via updates regarding coronavirus provided from the Ministry of Health or World Health Organisation.

    • Capital Coaches New Email addresses
      • Capital coaches new email addresses: Please update your contact details for the coaches. Coach Gary is headcoach@capitalswim.co.nz, Coach Andre is andre@capitalswim.co.nz, and Coach Brandon is brandon@capitalswim.co.nz. In order to keep the coaches updated about abnormal absences from training please have swimmers speak in-person with their coach, or for parents to email coaches directly.

    • Training Protcol
      • Coach André Kudaba has put together his group expectations; Show up on time.5:45am at the Hydrotherapy/back entrance of WRAC for weekday mornings, 4:30pm at the fitness room from Mon-Thursday, 3:45pm on-deck on Friday afternoons. Togs should be on, and water bottles filled by these start times. If your swimmer misses the team-meeting before our in-water session begins, it can be disruptive to the group and the swimmer is also missing out on learning the practice-plan. Contact the coach about missing sessions: We understand many of our swimmers are involved in other extra-curricular activities, but please remind your swimmer to be up-front with their coach about when they will be missing training. Coaches plan each practice with a certain roster of swimmers in mind. Emails will be preferred when passing on this info. Respect the Team:Swimmers must respect each other as training partners (no ill-will/bullying/general “bad form”). Be honourable! Being an athlete is a huge undertaking, respect that everyone is making a huge commitment. Swimmers must respect their coach (i.e. no talking during times when the coach is instructing the group, swimmers need to get into the pool on-time, no talking back/foul language towards the coach). In general, if the swimmer is purposefully taking away from the group’s ability to operate at its best, this is disrespectful to the squad. Do not be the one who takes away someone else’s ability to learn.” Code of Conduct – A Reminder As a member of Capital you are obligated to behave in accordance with the Swimming New Zealand Code of Conduct, which states how you are expected to behave as a member of our club and the sport. Be a positive role model If you observe any member of our club (swimmer, parent, caregiver, coach and/or administrator) not behaving in accordance with the code please raise the matter with manager@capitalswim.co.nz
